Setting up your email signature
Please follow these steps precisely. While it is generally easy to set up a signature, not all email clients treat them the same—this process helps ensure that your signature will be formatted properly upon delivery, regardless of what your recipients may be using.
In Gmail:
1. Click on your Gmail settings icon
and then click the “See all settings” button.
2. Scroll down to the “Signature” section and click on the “+ Create new” button. Give your new signature a name and click “Create.”
3. Select and copy the contents of the white box below, and paste it into the new blank signature box in your Gmail settings page to the right of where you created your name.
| Firstname Lastname |
|---|
| Position or Title |
|
D
555.867.5309 E [email protected] |
4. Replace the text with your own details, one line at a time, so it doesn’t lose the formatting.
5. [IMPORTANT!] Select all of the text in your new signature and choose “Sans Serif” from the font list directly below the signature. Do this even if Sans Serif seems to already be selected—Gmail has a formatting bug and this step ensures the signature will be formatted properly in most email clients.
6. To add the CloudOne Digital banner image, place your cursor at the end of the email address in the signature and press Enter twice on your keyboard to add two blank lines below the text. Next, click the Insert image icon
and paste the following URL in the dialog box that pops up:
https://cloudonedigital.com/wp-content/uploads/2025/08/COD_Email_Signature_Image_.png
Click “INSERT IMAGE” at the bottom of the pop-up box.
7. Click on the newly added image in your signature, and select “Large” from the size options that appear (see image below).

8. To set this as your default signature, select the signature you just created from the “FOR NEW EMAILS USE” and “ON REPLY/FORWARD USE” dropdown menus.
9. [IMPORTANT!] Scroll all the way down to the bottom of the page and click the “Save Changes” button. Congratulations, you’re done!
In the Apple Mail app (Mac):
1. Open the Mail app.
2. Click on “Mail” in the menu bar at the top of your screen and then choose “Settings” from the menu.
3. In the column on the left, click on your email account.
4. Click the “+” button below the middle column to create a new signature. Change its name if you’d like to.
5. [IMPORTANT!] Uncheck “Always match my default message font” below the right column. This is required to make the formatting work properly.
6. Copy the text in the white box below and paste it into the right column.
| Firstname Lastname |
|---|
| Position or Title |
|
D
555.867.5309 E [email protected] |
7. Replace the text with your own details, one line at a time, so it doesn’t lose the formatting.
8. Right click on the image below and select “save image as” from the menu. Save it somewhere on your computer where you won’t delete it. Once saved, find the image file on your computer, right click on it, and select “copy” from the menu.

9. Return to where you were editing your signature. Press the down arrow on your keyboard until the cursor has moved as far as it will go below the text in your signature. Hit backspace until the cursor is positioned after the last letter of your email address. Press the Enter key twice to add two blank lines. This may seem weird to do, but it ensures your new lines are properly aligned with the signature text.
10. Paste the image you copied into your signature by pressing CMD+V or right clicking near the cursor and choosing “Paste” from the menu options.
11. To set this signature as your default signature, choose it from the “Choose Signature” drop down menu at the bottom of the window. Congratulations, you’re done!
