(All) Policy Update for Corporate Travel & Expense

As part of our ongoing efforts to refresh our policies and practices to better align with our company’s direction, we’re excited to share an update to our Corporate Travel & Expense (T&E) Policy, effective January 1, 2026.

This update replaces our legacy T&E Policy and introduces clearer, more consistent standards across the company, while still accommodating country-specific requirements where applicable. The updated policy reflects how we operate today and is now available on the Resources page of Spark.


Why this matters

The updated T&E Policy is designed to:

  • Make expense and travel processes clearer, more consistent, and easier to manage
  • Support employees and managers with simplified guidance
  • Ensure responsible and aligned practices as our company continues to grow

What’s changing

Travel bookings (U.S.-based employees)

  • We will no longer use Reed & Mackay for travel bookings starting January 1, 2026
  • Refer to the updated policy on Spark for approved booking methods

Expense Reporting Updates

  • Mileage reimbursement: Updated to align with the IRS standard for 2026
  • Meal expenses: Per diem reimbursement will no longer be available; actual meal expenses with receipts will be reimbursed within company guidelines
  • New 2026 Expense Report template: Must be used for all submissions starting January 1. Previous versions should be deleted

Expense Report Approvals

  • Approvals are now managed through MineralTree
  • Managers can approve or reject expense reports directly in the system (email approvals are no longer required)
  • Completed expense reports and all receipts should be emailed to [email protected]
  • Accounts Payable will route expense reports to the appropriate manager for approval
  • Reimbursements will be processed within two weeks of manager approval

What you need to do

  1. Review the updated Corporate T&E Policy on the Resources page of Spark
  2. Use the new 2026 Expense Report template for all submissions starting January 1
